COVID-19 Guest Manual

Welcome to The Old Rectory Hotel.

To keep both you, the guest, and our staff safe we are implementing social distancing and new adapted ways of working.

This document forms part of our Covid safe risk assessment and everyone should follow the guidelines to ensure everyone has as safe a stay as possible

General

  • We are using 8 of our 11 bedrooms to maintain social distancing
  • We are maintaining social distancing of 2m – a bubble of 2 households will be treated as one household unit which should maintain a minimum of 1m+ distance
  • We will be monitoring guests temperatures on arrival and each morning at breakfast
  • Safe distance and one way systems will be marked using yellow and black tape
  • There will be sanitising stations at the entrance and in the dining room with hand sanitizer at specific points around the premises
  • Please follow government recommendations with regard to hand washing and distancing at all times
  • Our public washrooms will be closed and we ask all guests to use the lavatories in their bedroom.

If a guest develops Covid-19 symptoms whilst staying with us

Should a guest  develop symptoms of Covid-19 (fever, dry persistent cough, loss of sense of taste or smell) or if we observe a temperature in excess of 38 degrees centigrade, you and your party should immediately self isolate in your bedroom/s and make arrangements to return home immediately.

We will waive the cost of any remaining days of your stay. Once the guest has left the building the bedroom and public areas will be deep cleaned and fully sanitised using ozone gas.

If you are unable to return home, you should book a test in accordance with NHS guidelines and follow their procedures. If you are unable to return home and have to remain here at The Hotel, then in accordance with NHS guidelines, you will be charged for any additional nights you remain with us.

Check-in time

Our usual check in time is 2pm and we will make every effort to have your room ready by this time. Our cleaning protocols have been strengthened to keep everyone safe and your bedroom will be sanitized using our Hospital grade Ozone gas machine prior to your arrival. This process takes a minimum of 45 minutes per room and at busy times, there may be a delay finishing the preparation of your room.

On your arrival

  1. Please ring the front door bell and wait – a member of staff will invite you in.
  2. A member of staff will take your temperature – customers with a fever are not permitted to enter or stay at the Hotel
  3. Porterage service will be limited to assistance with carrying luggage to outside the bedroom door, suitcase handles will be sanitised
  4. We will agree with you an allocated a time slot for breakfast the following morning at a time to be agreed
  5. Afternoon Tea will be served between 3.30 and 4.30
  6. You will find your (sanitised) key in your bedroom on arrival. Please retain the key if you leave the building during your stay and leave the key in the depoit box at Reception when you check out.
  7. Please note that we will retain your card details until you check out of the hotel at the end of your stay. We will email you a copy of your room account on the morning of your departure and this will be charged to your card, so minimising contact.

Breakfast service

  1. Your party will be allocated a time slot for breakfast for your entire stay when you check in and you should come for breakfast at that time
  2. A member of our staff will record your temperature on arrival
  3. The dining room will have been sanitised over night so you may sit at any table. Cutlery and Crockery will be brought to you once you have taken a seat.
  4. Breakfast service will be fully waited at your table
  5. We will not be able to provide morning newspapers
  6. The breakfast menu is available online and a copy will be displayed on a board at the entrance to the dining room
  7. When you have finished each course, please stack your plates at the edge of your table so they can be collected by your waiter
  8. Please let us know what you would like for dinner either at the end of breakfast or if you prefer by 11am at the latest. The menu and wine list for the day will be online from 8am and a copy of the evening’s menu will be displayed on the board by the dining room entrance

Afternoon tea

  1. Complimentary Tea will be served in The Orangery, Sitting rooms or the Garden. Please take a seat and be mindful of social distancing (2m)
  2. Please ring the bell just inside the Orangery for service
  3. Your tray will be cleared once you have left your seats

Housekeeping During Your Stay

  1. You can be assured that your room is a safe space for you throughout your stay and nobody other than you will enter after your arrival. Pre arrival, your room will have been sanitised using our Hospital grade ozone sanitising machine, which will sanitise the entire room including mattress, carpet, TV remote, kettle, cups etc.
  1. We will endeavour to provide hand sanitiser, although wholesale stock is limited and you may like to bring sanitiser for your own use just in case
  2. Every guest bedroom and en-suite will be fully sanitised before each stay and sealed to ensure no contamination occurs prior to your arrival.
  3. Fabric items such as mattresses, pillows, cushions, carpet, chairs and other furniture will be disinfected using our hospital grade Ozone Sanitisation Machine which is otherwise harmless to you and us.
  4. All surfaces are thoroughly wiped down and cleaned prior to your arrival.
  5. Linens and towels are professionally washed on a high heat, with added sanitisation. Consumables are replaced before each stay.
  6. Any printed material has been removed where possible or laminated and will be sanitised before and after your stay.
  7. Our housekeeping teams undergo sanitisation prior to starting work and will wear the appropriate PPE during cleaning.
  8. To reduce contact, Housekeeping will not enter your room during your stay. Disinfectant spray and cloths will be provided.  Any additional linen, towels, toilet rolls, toiletries, tea, coffee etc will be provided upon request. To order any replacements, please ask at reception or call 00.
  9. Shower Caps, mending kits and vanity kits are available on request.
  10. Please be aware that supplies of many housekeeping items are restricted at this time, so please be mindful of this when using loo rolls, cleaning materials etc.
  11. If you would like the contents of your bin removed, please remove the liner, tie it securely and leave it outside your door for collection by the housekeeping team
  12. Iron boards and irons are available on request and will be sanitised after you have used it. Please let us know when you have finished with it so that it can be removed immediately

Dinner service

  1. Guests should order their dinner choices at breakfast or by 11am for that evening
  2. The menu, wine list, gin and tonic menu are available on the hotel website
  3. Predinner drinks and canapes will be served from 6.45pm
  4. Guests will be shown to their allocated table for dinner at 7.30pm
  5. Your table will be prelaid as the room has been sanitised
  6. Water and any wine ordered will be on the table – please serve yourself to minimise contact
  7. Bread rolls will be served at the edge of your table
  8. When you have finished each course, please move your plate and cutlery to the furthest point away from you so that waiting staff can take it away.
